Terms & Conditions

1. Acceptance of Terms

By accessing or using SessionMatrix ("the Service"), you agree to be bound by these Terms & Conditions ("Terms"). If you do not agree, do not use the Service. We may update these Terms from time to time; continued use after changes constitutes acceptance.

2. Description of Service

SessionMatrix is a web-based tool that allows coaches and sports professionals to design, animate, and share field hockey training drills on a 3D pitch. The Service includes:

  • A drill design editor with a 3D pitch visualization
  • Cloud storage for your drill designs (called "sessions")
  • Real-time collaboration between team members via WebSocket connections
  • Sharing sessions with other users or via public links
  • Drill template libraries for reusable drill designs
  • Organization features: folders, clubs, and teams
  • PDF export of drill designs
  • Account management: email/password login, two-factor authentication (TOTP), WebAuthn/passkey support

3. Accounts

3.1 Registration

You may create an account by providing a valid email address and creating a password. You may also authenticate via WebAuthn/passkey if supported on your device.

3.2 Account Security

  • You are responsible for maintaining the confidentiality of your account credentials.
  • Each person should use their own individual account. Accounts are non-transferable.
  • You must not share your account credentials with others, including team members. Use our sharing and collaboration features instead.
  • If you suspect unauthorized access to your account, contact us immediately at [email protected].

3.3 Account Deletion

There is currently no self-service "delete account" option in account settings. To delete your account, contact us at [email protected]. Once processed:

  • All sessions and drill templates you own are permanently removed, including copies shared with other users - sharing does not transfer ownership, so collaborators lose access to shared sessions when your account is deleted.
  • Your membership in any clubs or teams is removed. Clubs and teams themselves are not deleted; if you are the sole administrator of a club or team, it is left without an administrator rather than being deleted or reassigned.
  • Your email address, password hash, TOTP secret, backup codes, passkeys, and auth tokens are permanently removed along with your account.
  • Deletion is irreversible - there is no undo or recovery period.

3.4 Authentication Methods

We support the following authentication methods:

  • Email and password: passwords are hashed using scrypt with per-user random salts.
  • Two-factor authentication (TOTP): available for all accounts; required for global administrators.
  • WebAuthn/passkey: phishing-resistant, hardware-backed authentication where supported by your device/browser.

4. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of applicable sports governing body rules.
  • Share sessions containing content that infringes third-party intellectual property rights.
  • Use automated scraping, crawling, or bulk extraction tools against the Service.
  • Attempt to gain unauthorized access to other users' sessions, accounts, or data.
  • Use the Service to distribute malware, spam, or harmful content.
  • Reverse-engineer, decompile, or extract source code from the Service.
  • Use the Service on behalf of a minor without parental consent and oversight (if applicable in your jurisdiction).

5. Content and Intellectual Property

5.1 Your Content

You retain all intellectual property rights to the drill designs, tactics, training methods, and other content you create using SessionMatrix ("Your Content"). You are the sole owner of Your Content.

We claim no ownership or IP rights over your creations.

5.2 License Grant to SessionMatrix

By uploading or creating content on SessionMatrix, you grant us a limited, non-exclusive, worldwide license to:

  • Store, reproduce, and display your Content solely for the purpose of providing the Service to you.
  • Transmit your Content to other users who you have explicitly shared it with.
  • Generate PDF exports of your Content at your request.

This license terminates when you delete your Content or your account.

5.3 Our Content

The SessionMatrix application - including its code, design, graphics, logos, and documentation - is owned by SessionMatrix and protected by intellectual property law. You may not copy, modify, distribute, or create derivative works from our Content without express permission.

6. Sharing and Permissions

6.1 User-to-User Sharing

SessionMatrix allows you to share sessions with specific users or publicly via unauthenticated links. By sharing content, you acknowledge:

  • View-only sharing grants the recipient read access only - they cannot modify your session but can view, annotate (if the viewer supports it), and export PDFs of what they see.
  • Can-edit sharing grants the recipient full editing rights - changes are persisted to your session and visible in real-time to all collaborators.
  • Team/club sharing may automatically grant access to all members of an organization, depending on your settings.

6.2 Public Share Links

When you share a session via a public link (https://app.sessionmatrix.com/share/<id>):

  • Anyone with the URL can view the session - no login required.
  • The content is unauthenticated and unmoderated; we do not review or approve shared content before it becomes accessible.
  • You control whether to revoke the share or delete the session at any time.
  • You are responsible for ensuring shared content does not contain sensitive or confidential information you wish to keep private.

6.3 Trust Relationship

Sharing features create a trust relationship between users, not between you and SessionMatrix. We do not mediate disputes arising from sharing, nor do we guarantee that recipients will honor permissions.

7. Service Conduct and Termination

7.1 Termination by You

You may stop using the Service at any time, and may request deletion of your account as described in Section 3.3.

7.2 Termination by Us

We reserve the right to suspend or terminate your account, or restrict access to specific sessions, if you violate these Terms - particularly:

  • Repeated sharing of inappropriate or unlawful content.
  • Attempts to compromise the security of the Service or other users' data.
  • Abuse of sharing features (e.g., mass-spamming share links).

Upon termination, you forfeit any right to recover your data. We will make reasonable efforts to notify you before termination unless doing so would compromise security.

7.3 Global Administrator Actions

Global administrators on SessionMatrix have elevated privileges including the ability to:

  • View and manage all sessions across the platform.
  • Manage user accounts (enable/disable, reset credentials).
  • Delete sessions or users at their discretion.

Administrators are bound by confidentiality obligations regarding any data accessed through their admin privileges.

8. Disclaimer of Warranties

SESSIONMATRIX IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, OR ACCURACY.

WE DO NOT GUARANTEE THAT:

  • The Service will be uninterrupted, secure, or error-free.
  • Your data will be recovered in the event of system failure.
  • Drill designs rendered on the 3D pitch accurately reflect real-world outcomes.
  • Share links will remain active indefinitely.
  • The Service will meet your specific requirements or expectations.

SOME JURISDICTIONS DO NOT ALLOW EXCLUSION OF IMPLIED WARRANTIES. IN SUCH JURISDICTIONS, OUR WARRANTIES ARE LIMITED TO THE MAXIMUM PERMITTED BY LAW.

9. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, IN NO EVENT SHALL SESSIONMATRIX, ITS OPERATORS, DEVELOPERS, OR AFFILIATES BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, USE, GOODWILL, OR OTHER INTANGIBLE LOSSES, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF THE SERVICE.

IN NO EVENT SHALL OUR TOTAL AGGREGATE LIABILITY EXCEED $0 (THE SERVICE IS PROVIDED FREE OF CHARGE).

SOME JURISDICTIONS DO NOT ALLOW THE LIMITATION OR EXCLUSION OF LIABILITY. IN SUCH JURISDICTIONS, OUR LIABILITY IS LIMITED TO THE MAXIMUM PERMITTED BY LAW.

10. Indemnification

You agree to indemnify and hold harmless SessionMatrix and its operators from any claims, damages, or expenses (including legal fees) arising out of your breach of these Terms or your use of the Service - particularly relating to content you share or distribute through the platform.

11. Governing Law

These Terms are governed by the laws of the Netherlands, without regard to conflict of law principles. Any disputes will be resolved in the competent courts of the Netherlands.
